Wovex Academy — Privacy Notice
Draft for review | 3 November 2026
1. Who we are and what this notice covers
Wovex Academy is provided by Wovex Limited (company number 08553412), 1010 Cambourne Business Centre, Cambridge, Cambridgeshire, CB23 6DP, United Kingdom. Wovex Limited is the controller of the personal information it uses to run Wovex Academy.
This notice applies when you browse our Academy pages, register for a course, access learning materials or contact us about Academy services. Our general privacy notice is also available at https://wovex.com/privacy-policy/. Other Wovex software products may have separate applicable terms and privacy information.
For Academy privacy questions or requests, contact [email protected].
2. Information we collect
Depending on how you use the Academy, we may collect:
The name, email address and other details you provide when registering or contacting us.
Your Academy account details, course enrolments, lessons accessed, progress and completion information where recorded by the learning platform.
Messages you send to us and information needed to respond to support requests.
Technical and usage information such as device, browser, IP address, sign-in activity and cookie preferences.
Your marketing communication preferences, if you choose to provide them.
You do not need to provide confidential project information or sensitive personal information to complete our general learning guides. Please do not upload or enter such information into exercises or support messages.
3. Why we use this information and our legal bases
We use the information to:
Provide your learning service: Create and manage your Academy account, enrol you in requested courses, provide lessons and downloads, and send essential account or course messages. Our legal basis is generally performance of our agreement with you.
Operate and improve the Academy: Maintain security, prevent misuse, provide support and understand how to improve the Academy. Our legal basis is our legitimate interests in running a reliable and useful learning service, balanced against your rights.
Comply with the law: Meet applicable legal or regulatory obligations, where required by law.
Send optional marketing: Send Wovex news or promotional emails only where we have an appropriate legal basis, including consent where required. Enrolling in a course does not by itself subscribe you to marketing.
You may receive service emails about signing in, enrolment, access or material changes even if you do not opt into marketing.
4. Who processes your information
We use Thinkific to provide Academy accounts, course delivery, learner administration and associated service emails. Thinkific and its service providers may process information needed to provide those services. See https://www.thinkific.com/privacy-policy/.
We may also use providers for hosting, security, support and communications as needed. If we later connect Academy enrolment records to our CRM, including HubSpot, we will configure that processing consistently with this notice and your communication preferences.
We do not sell Academy learner personal information.
5. International processing
Some service providers may process personal information outside the United Kingdom. Where UK data protection law requires safeguards for international transfers, we will use an applicable lawful transfer mechanism and take appropriate steps to protect the information.
6. Retention and security
We retain Academy account and enrolment information while needed to provide access, administer the Academy, address requests, protect the service and comply with legal obligations.
We review information and delete or anonymise it when it is no longer needed, subject to any applicable retention requirement. You can request account deletion by contacting us.
We use appropriate organisational and technical safeguards and work with our service providers to protect personal information. No internet service can guarantee absolute security.
7. Cookies and similar technologies
The Academy and its learning platform may use essential cookies for sign-in, security and site operation, and may use other cookies or similar technologies where configured.
Where consent is legally required for optional cookies, we will request it before using them.
Information about cookies on our main website is available at https://wovex.com/cookie-policy-uk/; the learning site's actual cookie settings and notice must also be checked.
8. Your rights
Subject to applicable law and exceptions, you may request access to your personal information, correction, deletion, restriction or transfer, or object to certain processing.
You may withdraw marketing consent at any time without affecting your Academy enrolment.
Contact [email protected] to exercise these rights. You may also complain to the UK Information Commissioner's Office at https://ico.org.uk/.
9. Changes
We may update this notice as Academy services change. We will publish the updated version and provide additional notice where legally required.
